HomeMy WebLinkAboutMinutes Senior Companion Program Advisory Committee - 09/09/2015 Minutes September 9, 2015 Fundraising Event Members Present: Tami Longino, Shirley Selz, Isabel Odeh, Shirley Tipton, Veronica Marsello, Veronica Suniga, Sherry Dubois. Staff Present: Debbie Crites Tables:Tami announced there are 13 tables sold. Out of these, there are 2 tables that have not confirmed. The goal is for 20 tables. Sponsorships:Tami stated that H-E-B is a $1,000 sponsor, but has donated the table back. Debbie said this table can be used for the volunteers. Financial Report: Tami reported there have been 107 books of raffle tickets turned in so far, $3,500 has been raised through sponsorship and $1,920 in table sales. The total gross profit is $7,560. The only expense so far is $348 for the TV. Project expenses will be lunch, programs and awards. MC: Ericka reported that she visited with a lady from one of the local radio stations while selling raffle tickets at Sames Ford. She has emailed her and asked her to MC the event but has not heard back from her yet. Debbie stated that she met Tiffany with Z95 and asked her about being one of the judges. If Ericka's contact does not respond, maybe Tiffany can be asked. Debbie has contacted a couple of the local news anchors by email but has not heard from any of them. Mayor:Tami announced Mayor Nelda Martinez has been confirmed to provide opening remarks. A letter was distributed that was sent to the SCP program by a companion's daughter. It was a suggestion that the Mayor read the letter, plus share a story about RSVP. It has also been suggested at past meetings to have volunteers from each program tell about their experiences. The event agenda will be discussed in more detail at the next meeting. Judges: Joshua Romero, Librarian— Isabel's contact is confirmed. Debbie stated Tiffany she would be a judge or she will find someone from her station to be a judge. Debbie will follow-up. Review Judges Form used at Taft Fundraisers: The judge's sheet from the Taft event was reviewed. Several suggestions were made. Debbie will revise the form and email it to everyone so they can review prior to the next meeting. A discussion was held regarding limiting the height of the centerpieces. Debbie commented that based on attending other such events, if you limit it you would take away from the creativity of the table decorations. She explained that the judges took away if you could not see the person sitting across from you at the first Taft event, but that was the only year it was judged that way. We will finalize the judge form at the next meeting. Menu: Two menus were presented. The committee decided on the menu with the Roast Beef, but change the dessert to cheese cake with strawberry topping. Lisa Oliver pointed out the servers will need serving trays. Debbie will see if the Port will let us borrow some, if not we may have to rent them. Raffle: Tami thanked Ericka for selling raffle tickets at Sames Ford. She announced opportunities where raffle tickets can be sold. They areas follows: Saturday, October 17th from 8:30 a.m. — 2:00 p.m. Garden Senior Center (next to Cullen Middle School) Items to take raffle tickets, brochures, door prize, Candy, game— probably need 2 people. Lone Star County Store—we can sell at this location any day of the week, we just need to let them know when we are there— Debbie will notify daughter in-law what days and times. The best time during the week is probably 4:00— 7:00—when people are going after work. Anytime on Saturday. Saturday, November 7, 2015; 7:30 a.m.— 11:00 a.m.; 2015 Coastal Bend Memory Walk— Heritage Park Tami said that she will be able to sell at Saturday's event at the Garden Senior Center but she cannot stay the entire time. Debbie stated that Linda Ramirez volunteered to help also. Tami is planning to sell at Lone Star and will let Debbie know when. Awards: Ericka shared the award that is given at the Taft event. She suggested a plaque similar to the one Taft Library awarded their winning tables to be uses as the prize for our tables—we agreed. She is working with Boundless Network so see if she can get them donated. Lisa suggested D&W Trophy. Location Set Up: Tami announced that tables will need to be taken to the Gym on Thursday instead of Friday. Debbie stated that her husband will provide the truck and flatbed trailer to haul them. She will recruit help. Tami stated her husband plans to help also. Program/Sponsor Banner: Debbie stated she would like Ericka to do the program because she is so creative. Programs and banners may be printed in house. Debbie will follow-up. Service of Lunch: Lisa Oliver said the servers need to have a food handler permit; the servers must wear gloves and hair nets. She also pointed out that a group training could be done such as the one for the volunteers of the Holiday Dinner. Ericka stated that some of the RSVP volunteers already have permits. She will check to see how many will volunteer. Auction Items: Tami distributed a list of silent auction items that have been collected so far. The ones that are in red have been secured but not picked up yet. Next Meeting: The next meeting was scheduled for Wednesday, October 28th at 11:30. Minutes by: Debbie Crites
