CALL TO ORDER: The regular meeting of the Sister City Committee was called to order by John Rocha at 6:00 pm. II. ROLL CALL: Laura Gonzales called roll. A quorum was met with 12 of 21 members present. III. APPROVAL OF MINUTES: Corrections: Under VIII. E. Activities — Change "July 214 to "July 24 th„ Westi Horn moved to accept the minutes. Kelly Kimball seconded the motion. The minutes were accepted. IV. TREASURER'S REPORT: DISCUSSION ITEMS: Laura Gonzales reported that the PALS account is $8,523.99. Donald Russell moved to accept the Treasurer's Report and Samantha Chase seconded the motion. The Treasurer's report was accepted. V. PUBLIC COMMENT: None VI. DISCUSSION ITEMS: A. DISCUSSION AND ACTION on recommending 4 new committee members to City Council. There are seven applications to review for the vacant positions on the Committee. Samantha Chase and Kelly Kimball will call the applicants and interview them before the committee decides which applicants to recommend to Council. JR Seaman moved to table this item until June. Donald Russell seconded the motion. The motion passed. B. DISCUSSION AND ACTION on how much to spend on International Mayor's gifts. The Mayor's gifts need to be purchased before the students leave for France in June. Prior gifts include pencil holder from Aloe Tile and a wooden Texas plaque. Samantha Chase will look for the Mayor's gifts. The cap for the gift in the past was $50. Donald Russell moved to purchase the Mayor's gifts and to spend between $50 and $75 on each gift. Westi Horn seconded the motion. 11- yes and 1 opposed. The motion passed. VII. Liaison Reports A. Yokosuka, Japan — The Schulze family will host the second Japanese exchange student. B. Agen, France — JR has sent the itinerary for our students and the French students are ready to come to Corpus Christi C. Keelung, Taiwan — Keelung has not chosen their exchange student yet. D. Monterrey, Mexico — Judith Prewitt will check on the DVD's to send to Monterrey E. Toledo, Spain — No Report F. Playa del Carmen — No Report VIII. Task Manager Reports A Publicity Reports — No Report B. Curriculum /Training — Training is over and all students passed the test. C. Fundraising — The Multicultural Festival is on May 19 at Heritage Park. Volunteers are needed to make goodies for the bake sale and to work the day of the festival. D. New Sister City Evaluation — Donald Russell received an email from a City in Columbia requesting to become Sister Cities with us. At this time, it was suggested that we politely decline due to 1. Columbia is listed on the US Dept. List, 2. The budget will not allow us any new exchanges at this time, and 3. The request came from the Chamber of Commerce, not the City. Donald Russell moved to decline the request from Columbia. Time Dowling seconded the motion. The motion passed. E. Activities — The Mayor's gifts need to be purchased. The students will meet with the Mayor on a Wednesday, not Thursday, as scheduled. As per Brandi, the Mayor will not meet with the students on a City Council day. F. Student Selection — No Report G. Pen Pal — Heather has received letters from Japan. H. Student Service — Student car wash on June 16 from 10am — 2pm. Volunteers are needed. I. Alumni — No Report IX. IDENTIFY ITEMS TO BE PLACED ON NEXT AGENDA — A. DISCUSSION AND ACTION on lowering number of Committee members. B. DISCUSSION AND ACTION on recommending 4 new Committee members to Council C. DISCUSSION AND ACTION on fundraising activities. X. GENERAL CHAIR'S REPORT: Letter from Tim to be sent out to former exchange students. XI. ADJOURNMENT: Judith Prewitt moved to adjourn and Kelly Kimball seconded the motion. The meeting was adjourned at 7:00 pm.
