I. CALL TO ORDER:
The regular meeting of the Sister City Committee was called to order by Heather Moretzsohn at
6:05 pm.
II. ROLL CALL: Tess Allan called roll. A quorum was met with 10 members present.
III. APPROVAL OF MINUTES: Chris Kallas made a Motion to accept the April 1, 2013 minutes,
Kelley Kimball Seconded. Minutes were approved.
IV. TREASURER'S REPORT: Reba George reported a deposit of $600 in student fees, and
withdrawal of $1,920.20 for student airfare. The total available funds are $7,727.91. The
Treasurer's Report was accepted by general consensus.
V. PUBLIC COMMENT: None
VI. DISCUSSION AND ACTION ITEMS:
Appointing a Committee Member to Track Finances
After discussion of the best way to track Sister City Accounts it was decided that Reba George
will add one descriptive column to her current report. The committee will review the Treasurer's
Report again at its July 2013 meeting, and City staff will provide SCC members with Check
Request forms for reimbursements.
Membership Recruiting
Heather Moretzsohn will contact the three applicants currently on file to determine if they are still
interested in being on the Sister City Committee. Donald Russell made a Motion to excuse
Judith Prewitt's absence from the April Committee meeting. Kelly Kimball Seconded. Motion
was approved. JR Seaman made a Motion to add a limit to the number of excused absences
to the SCC Bylaws. Alan Thornburg Seconded. A vote was not taken as committee members
requested that City Staff provide them with a copy of the SCC Bylaws for review.
Gifts for Sister Cities
Westi Horn will research purchasing autographed hardcover books about Texas seashells to
give as gifts for Sister City Mayors.
VII. Liaison Reports
A. Yokosuka, Japan — No Report. Waiting to hear who Japan has selected.
B. Agen, France — JR Seaman stated that the airline tickets have been purchased and the
host home arrangements have been made.
C. Keelung, Taiwan — Alan Thornburg stated that Taiwan has opted to only select one
student to send here.
D. Monterrey, Mexico — No Report
E. Toledo, Spain — No Report
F. Playa del Carmen — John Sloan will be traveling to Playa del Carmen in July and
November and will visit with Sister City officials during one of his visits.
VIII. Task Manager Reports
A. Publicity Reports — No Report
B. Curriculum/Training — All of the students passed their test and all the airline tickets
have been purchased.
C. Fundraising — Chris Kallas reported that a fundraiser to apply towards 2014 costs is
being planned. A venue has been selected at Jean Adams home, former Sister City
students, such as JR Seaman, will be the guest speakers, and currently they are looking
for names of appropriate guests to invite. It was suggested that the event be held while
Sister City Students are here this summer so that possible donors will have an
opportunity to interact with them. There will be a committee meeting immediately
following the SCC meeting.
D. New Sister City Evaluation — No Report
E. Activities — Westi Horn announced that they are waiting on a date for the lake guest
house to begin setting the calendar of activities around that event. John Sloan
volunteered his home as well as the food and entertainment for a possible event. Alan
suggested that everyone send Westi two activity ideas via email. There will be an
Activities committee meeting on Sunday, May 19th, at 3:30 pm in the University Center—
1 st floor tables.
F. Selection — Alan Thornburg requested a new point of contact for retrieving necessary
signed documents from Mattie Dibble's family. John Sloan volunteered.
G. Pen Pal — No Report

XI. ADJOURNMENT: Chris Kallas made a Motion to adjourn the meeting. Donald Russell
Seconded. The meeting was adjourned at 7:06 pm.
