The Museum Advisory Committee met in the Museum at 12 : 00 Noon, Thursday, September 1 , 1994 . Members Present: Alicia Perez, Alda Klett , Ruth O' Brien, Gene Pennebaker, Cindy Gamez, Deborah Kobelan, and Dr . Linda Mora . Members Absent: Dwayne Dean, Delbert Hooper and Gwen Henzi . Councilman Clif Moss was also in attendance . Chair Alicia Perez called the meeting to order . The minutes of the July 7, 1994 meeting were unanimously approved as written. The absence of Deborah Kobelan from the last meeting was excused for good cause. Alicia Perez advised that she has enjoyed serving on the Advisory Board, but she can not serve a third consecutive term. There- fore, three vacancies must be filled. Ruth O'Brien and Cindy Gamez both wish to continue as Advisory Board members . We have not yet heard from CCISD regarding Sharon Brower' s replacement , and the Advisory Committee had no nominations today for the other two vacancies . This will be handled at October' s meeting. Election of Officers - Ruth O' Brien nominated Linda Mora as Chair of the Advisory Committee. Alicia Perez seconded the nomination. Dr. Mora advised that she would be willing to accept the nomina- tion with the understanding that she will be traveling more this school year and will, therefore, be absent from a few of the meetings . The Committee members acknowledged this fact and voted unanimously to elect Dr. Mora as Chair . Gene Pennebaker nominated Dwayne Dean as Vice Chair. Alda Klett seconded this nomination. The vote to elect Dwayne Dean as Vice Chair of the Advisory Committee was unanimous . 6a. KEDT Food & Wine Classic - Two years ago, the Friends and KEDT co-sponsored the Food & Wine Classic. KEDT wants to again hold this event in the Museum. The question before the Advisory Committee is whether to allow an outside organization to hold a fundraiser in the Museum. Mr . Stryker said he felt it would not take away from the fundraising activities the Friends will have. He recommended that the Committee approve KEDT' s request with the stipulation that the use would benefit the Friends in the amount of $2 , 000 and that the Museum would receive underwriting credit of two hours per week for a year (cash value of $2 , 600) . The Advisory Committee unanimously approved to allow KEDT to hold the Food & Wine Classic in the Museum. The Friends will now consider KEDT' s request . The Crook Collection: Books of the Presidents - This collection came from the libraries of Presidents and is owned by Ambassador and Mrs . William H. Crook. It is on permanent loan to the LBJ Library which is lending it to us . It will be on exhibit here from September 17th through December 31st . The actual opening will be held September 24th, at which time Mr. Crook will speak. 6c . Collections Management Policy - Each member of the Advisory Committee was mailed a final draft of this policy, which is now ready for adoption. Mr. Stryker advised that the following changes had taken place: (a) ambiguous language was deleted, (b) separate collections were lumped into a "Special Collections " category, (c) the policy on destructive analysis was added, (d) the Deaccessions Policy and Loan Policy are now part of the body of the policy rather than an appendix, and (e) the Ethics Policy now includes the AAM ethics policy. Upon motion by Ruth O'Brien, seconded by Gene Pennebaker, the Advisory Committee unanimously approved that the newly-revised Collections Management Policy be adopted. 6d. The City Council hears the Museum through the Advisory Committee . The Museum, with the Fleet attached, is a big player in tourism and needs to be heard by Council . The Water Taxi is a critical link for the Fleet and the Museum. The RTA recently made a presentation to the Council regarding the Water Taxi . The City Council relies on the Advisory Committee on such issues as they relate to the Museum. 6e. The Museum' s General Fund budget was approved, and a new server for the computer network is in this budget . The Museum basically got what was requested. 6f . We need an additional $10, 000 to begin the first section of Seeds of Change. The Water Story exhibit in the Xeriscape Garden should be completed by the first part of November . With no further business to discuss, the meeting adjourned at 1 : 02 p.m. SPECIAL NOTE: THE ADVISORY COMMITTEE SCHEDULED ITS NEXT MEETING FOR 12:00 NOON, TUESDAY, OCTOBER 4 . /sso
