CALL TO ORDER - The Monday, May 2, 1994 meeting of the Sister City Steering Committee was held in the Committee Room of City Hall. The meeting was called to order at 6:08 p.m. by Drue Combs, General Chairperson. II. ROLL CALL - Attendance was taken and a quorum was present. III. ACTION ON APRIL 4, 1994 MINUTES - Jose Garcia motioned to accept the minutes of the April 4, 1994 meeting. Ramon Lopez seconded the motion, and the vote was unanimous. IV. TREASURERS' REPORT- Marion Loucks reported that there was $16,297.49 in the General Fund and $4,069.31 in the Trust Fund. V. DISCUSSION ITEMS: A. Discussion regarding the Sister City Committee's involvement in soliciting host families for the "Vacation Plan - Mexico 1994" proposed by the Mexican Consul. Yvonne Haag clarified the proposal made by the Mexican Consul at the April 4, 1994 meeting regarding the "Vacation Plan - Mexico 1994." Ms. Haag explained that the host families for this program have not been secured and that the Mexican Consul requests the assistance of the committee in soliciting host families for fourteen adult athletic educators from Mexico City. Ms. Haag also announced that the City of Corpus Christi, Park and Recreation Department has agreed to integrate the educators into its summer youth program and will provide supplies for special projects. Eliud Kauffman, a representative of the Mexican Consul, was present to report that the Mexican educators have been selected and are awaiting information regarding the host family situation. Mr. Kauffman also reported that the West Oso School District expressed interest in participating in this program. Ramon Lopez motioned that the Sister City Committee make the commitment to host 14 educators from Mexico City, and volunteered himself to chair the recruitment effort. Johnnie Norman seconded the motion, and the vote was unanimous. B. Discussion on the selection and financial support of the committee members to attend the 1994 Sister Cities International Conference in Louisville, Kentucky. Ramon Lopez motioned that the Sister City Committee, financed through its Trust Fund, pay the registration fee ($195 per person) for 5 members (Rose Gunji, Elida Gonzales, Rudy Delgado, Fernando Iglesias, and Drue Combs) to attend the 1994 Sister City International Conference in Louisville, Kentucky. The committee agreed that if any of the five members are unable to attend the conference he/she would need to inform the committee before June 22, 1994, or reimburse the committee for the registration fee. Sam Polk seconded the motion, and the vote was unanimous. A VI. GENERAL COMMITTEE REPORTS A. YOKOSUKA, JAPAN - Johnnie Norman reported that she had received information from John Donaldson, Sister Cities International staff, regarding the Volunteerism Internship Program (scheduled for October 1994). Ms. Norman reported that a deadline of the end of June 1994 has been set for the finalization of the internship program schedule and the selection of the Corpus Christi representative. Ms. Norman also announced that the Yokosuka student exchange representatives completed their first training session, and that all host families have been confirmed. Ms. Norman reported that all student and host family information will be faxed to Yokosuka, Japan this month. B. TOLEDO, SPAIN - Fernando Iglesias reported that Toledo may not send students this year, but are ready to receive our four students representatives. C. VERACRUZ, MEXICO - Ramon Lopez reported that all the families to host Veracruz students are confirmed, and he plans to send student and host family information to Veracruz this week. Mr. Lopez announced that the first student training session went very well thanks to the assistance of last year student representatives. Mr. Lopez also reported that six students will be taking intensive Spanish language instruction from Ms. Edna Brown. D. PROJECTS COMMITTEE - Michael Flores reported that the First Annual Sister Cities International Golf Tournament was a huge success. Mr. Flores reported that revenues through sponsorships and donations were estimated at $2,620 and tournament expenses totaled $1,600. Certificates of appreciation were presented to Michael Rendon, Becky Rendon and Steve Norman for their volunteered time and efforts with the golf tournament. E. STUDENT EXCHANGE ACTIVITIES - Mary Saenz presented the budget and calendar of events for the 1994 student exchange activities. Ms. Saenz also requested $300 for emergencies in case a scheduled event was canceled or had to be postponed. This request was deferred for further discussion and action at the June 6, 1994 meeting. F. ATHLETICS COMMITTEE - Mr. Jose Tones reported that the soccer team is preparing to participate in the Sister Cities International Mastercard Soccer Tournament in Louisville, Kentucky. Mr. Tones explained that the soccer team expressed concern regarding official notification of participation. Mr. Tones also announced that the ordering of the T-shirts for the team are pending until information regarding participation in the tournament has been confirmed. Fernando Iglesias informed the committee that he would make an attempt to contact Ms. Carol Butler, tournament coordinator, for more information. VIII. CURRENT CONCERNS - A brief discussion was held regarding liability insurance for student exchange representatives traveling out of the country. It was explained that the student's parents/guardians agree to a release of liability with the City of Corpus Christi. IX.
